JOB SUMMARY Performance advanced and complex clerical accounting and financial functions under limited supervision, including record keeping and reporting for a multitude of accounts; sets up accountable payable accounts and processes all check requests in compliance with tight deadlines, budget constraints and established guidelines; serves as liaison

to the divisions or outside contacts on a daily basis in order to provide timely information regarding the status of accounts and check requests.

The incumbents may be requested to perform job-related responsibilities and tasks other than those stated in this job description. Sets up new accounts based on established guidelines; tracks activity of current accounts and budgets; maintains awareness of accounts balances to ensure that expenses do not exceed budget or income constraints and notifies the department head, divisions and/or supervisor of same. Reviews check requests and determines appropriate type of payment and format based on a variety of established guidelines; receives and processes checks for deposit into appropriate accounts.

Verifies all funding prior to submitting check requests for approval; ensures that all paperwork submitted is accurate and in the proper order, including account numbers; transfers funds between accounts as approved. Performs extensive and often complex research and reconciliation of accounts; responds to inquires from the divisions as well as outside vendors or contractors. Processes check requests and checks in accordance with tight deadlines requiring a quick turn-around so that checks can be distributed as quickly as possible.

Corresponds by telephone and/or mail with the local units and Divisional/Territorial headquarters, or outside contacts (vendors and contractors) regarding the status of accounts and checks; provides instruction for preparing and processing heck requests and explains established guidelines; drafts and finalizes correspondence for the department heads review and signature. Performance date entry of financial information in order to maintain a database and/or to prepare financial spreadsheets and/or reports; ensures the accuracy and completeness of same. May serve as a lead worker to other accounting clerk or secretarial personnel; trains and instructs employees in the proper methods and procedures for accounting-related matters; monitors work in progress and upon completion to ensure accuracy, completeness and compliance with the established policies and procedures.

MATERIALS AND EQUIPMENT Computer Calculator Photocopy Machine Various software products MINIMUM QUALIFICATIONS REQUIRED EDUCATION AND EXPERIENCE High school diploma or G. E. D. And Five years experience performing progressively responsible accounting and/or bookkeeping work with limited supervision, preferably with the Salvation Army.

LICENSES AND CERTIFICATIONS: Valid State drivers license KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of the practices and procedures of advanced accounting and/or bookkeeping work. Knowledge of project management skills necessary to track activity of a multitude of accounts and ensure compliance with approved guidelines and deadlines for the same. Knowledge of general office practices and procedures. Ability to monitor account activity and ensure compliance with a multitude of guidelines and budget constraints. Ability to review check requests and supporting documents in order to determine compliance with established guidelines.

Ability to research account discrepancies and/or inquiries and provide accurate and complete information. Ability to perform complex account reconciliations in order to ensure that account balance. Ability to work with various accounting computer software products as necessary. Ability to process financial documents quickly and with independent thought in order to meet tight deadlines. Ability to accurately and completely communicate the status of accounts to the divisions by telephone or mail in a courteous and timely manner.

MENTAL AND PHYSICAL ABILITIES: Ability to meet attendance requirements. Ability to read, write and communicate the English language. Ability to keypunch information into a computer. Ability to sort and file documents alphabetically and numerically. Ability to perform mathematical computations repeatedly, rapidly and accurately. Ability to operate various general office equipment including a computer and 10-key calculator. Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking. Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.

) 5-10% of work time. WORKING CONDITIONS: Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
